What is the difference between an AI receptionist and an answering service?
An answering service employs human receptionists who pick up your calls, take messages and transfer callers. Ruby is the classic model: live staff answer 24/7, including weekends and holidays, in English and Spanish, on flat monthly plans built around receptionist minutes.
An AI receptionist is software that does the same job: it answers, qualifies the caller, books appointments and transfers or takes a message. Vendors like Goodcall, Rosie, Upfirst and Dialzara sell this as a self-setup subscription.
A hybrid sits in between. Smith.ai answers every call with AI first, then lets complex calls escalate to 500+ North America-based live receptionists. AI-initiated escalation carries no fee; choosing live agent involvement for verification or scheduling is a per-call add-on.
The labor context matters. The Bureau of Labor Statistics puts receptionist median pay at $18.27/hour ($38,010/year) and projects employment to fall 2% from 2025-35 as organizations 'continue to automate or consolidate administrative functions.' Customer service representative roles are projected down 5% over the same period. That pressure is why AI options keep multiplying.
Side-by-side: AI receptionist vs answering service vs hybrid
| Live answering service (Ruby) | Hybrid (Smith.ai) | AI-only (Goodcall, Rosie, Upfirst, Dialzara) | |
|---|---|---|---|
| Who answers | Human receptionists, 24/7 | AI first, live agents on escalation or request | AI agent, 24/7 |
| How it bills | Flat monthly by minutes: $250/mo for 100 min, $395 for 200, $720 for 500 | Per call: $0/mo free plan (25 calls, then $3.00/call); $150/mo Pro at $2.00/call; $500/mo Enterprise at $1.67/call | Flat monthly with caps: Goodcall $79/mo (100 unique customers); Rosie $49/mo (250 min); Upfirst $24.95/mo (30 calls, then $1.50/call); Dialzara $29/mo (60 min, then $0.48/min) |
| After-hours | 24/7 human answering, weekends and holidays included | 24/7 AI answering on every plan | 24/7 AI answering |
| Handoff | Receptionists connect callers to you per your preferences | Warm transfers with full context; live agent add-on per call | Warm or cold transfers; Dialzara's warm transfer starts at $99/mo Pro; Rosie's warm/live transfers start at $149/mo Scale |
| Price example (light volume) | $250/month for 100 minutes | $0-$150/month depending on call count | $24.95-$79/month entry plans |
Two billing traps to check before you sign. First, overages: Ruby's materials do not state what happens if you exceed your monthly minutes, and Rosie's FAQ asks the same question without a published answer. Upfirst and Dialzara publish their overage rates ($0.70-$1.50 per additional call at Upfirst depending on plan; $0.35-$0.48 per minute at Dialzara). Second, what counts: Smith.ai filters known spam before answering so it does not count, but every answered call counts toward quota by default, with spam removals capped at 10% per cycle.
Where AI wins
Cost at low and steady volume is the clearest gap. Upfirst starts at $24.95/month for 30 calls ($20/month billed annually). Goodcall starts at $79 a month for 100 unique customers (Goodcall pricing). Rosie starts at $49/month for 250 minutes (Rosie pricing). A comparable block of human receptionist time at Ruby costs $250/month for 100 minutes (Ruby pricing).
Predictability at scale. AI vendors publish their overage math, so a busy month is a line item, not a surprise. Dialzara's overage drops from $0.48/min on Business Lite to $0.35/min on the $349/month Elite plan.
Testing before you commit. Smith.ai's free plan includes 25 live calls a month, and its Quality Studio lets you run up to 50 simulated scenarios before going live. Goodcall lets you build and hear a demo agent and only pay when you connect a number. Upfirst offers a 14-day free trial with no credit card required; Rosie and Dialzara offer 7-day trials.
Coverage breadth. Upfirst answers in English, Spanish and 35+ other languages and switches when a caller does. My AI Front Desk covers phone, web chat, email, SMS and WhatsApp on one $99/month plan with 200 voice minutes included (My AI Front Desk pricing).
Where people still win
These are considerations, not verdicts. We have not made test calls yet, so weigh them against your own call recordings.
Complex intake. A human receptionist can improvise when a caller is upset, confused or does not fit the script. Ruby's plans include lead intake, outbound calling and payment collection handled by people, with scheduling available in all plans at no extra cost.
Regulated conversations. Ruby states HIPAA-compliant receptionist and chat services are available. Among AI vendors, Goodcall lists SOC 2 and HIPAA, My AI Front Desk lists HIPAA, and Upfirst offers BAAs for HIPAA-regulated businesses only on Custom plans. Smith.ai, Rosie and Dialzara do not state compliance certifications in their materials. If you handle patient or client-privileged calls, ask for the paperwork, not the marketing page.
Judgment on handoffs. Ruby's receptionists connect callers according to your preferences, and its live chat has a call-connect feature that brings warm leads to your phone. AI warm transfers exist, but entry tiers often exclude them: Dialzara's $29/month Lite plan is blind transfer only, and Rosie's $49/month Professional plan only texts appointment links rather than booking directly (Dialzara pricing).
Bilingual nuance. Ruby offers 24/7 bilingual English-Spanish call answering by humans. Smith.ai, Rosie and Dialzara also offer EN/ES fluency, but the quality of AI Spanish on edge cases is something to verify in a trial.
Hybrid setups: AI first, humans on demand
The hybrid model tries to capture both sides. Smith.ai is the clearest example: the AI answers, qualifies and books (Calendly scheduling is included on every plan, with integrations for Salesforce, HubSpot, Clio, Zapier and Make), and its Live Agent Network of 500+ North America-based receptionists takes over when the AI escalates or when you choose human involvement for verification or scheduling. AI-initiated escalation carries no fee; chosen live agent involvement is a per-call add-on.
You can also build your own hybrid. Run an AI receptionist as the front line and keep your own staff as the escalation path. Upfirst's warm transfers tell you who is calling and what they need so you can decide whether to take it. Rosie's $299/month Growth plan adds waterfall transfers that try multiple numbers until someone answers. Goodcall transfers to a person or department with a backup if they do not pick up.
One staffing caveat if you rely on your own team as the human layer: Upfirst's human support runs Monday-Friday 9 a.m.-6 p.m. Eastern, with weekends AI-only. Check vendor support hours against your busiest call windows.
How do you choose? A decision checklist
Work through these in order:
- Volume first. Count answered calls and minutes last month. Under ~75 calls, per-call billing (Smith.ai at $2.00/call on Pro) or a cheap flat plan (Upfirst at $24.95/month) usually beats minute bundles. Over a few hundred minutes, compare Ruby's $720/month 500-minute tier against AI minute plans.
- Who needs to answer. If callers expect a person (established legal or medical practices, high-value home services), price a live service or a hybrid, not AI-only.
- Compliance. Need HIPAA in writing? Shortlist Ruby, Goodcall, My AI Front Desk, or Upfirst's Custom plan with a BAA. If a vendor does not publish certifications, assume none.
- Handoff depth. Blind transfer, warm transfer, or waterfall? Check which tier includes it. Warm transfer starts at $99/month with Dialzara and $149/month with Rosie.
- Overage exposure. Prefer published overage rates. Upfirst, Dialzara and Smith.ai publish theirs; Ruby and Rosie do not state what happens when you exceed the plan.
- Test before committing. Use Smith.ai's free plan or Quality Studio, Goodcall's demo agent, or Upfirst's 14-day no-card trial. Then follow our guide on how to test an AI receptionist and model the savings with the AI call center savings calculator.
