What the AI layer actually does
An AI call center is not one product. It is a stack of three jobs that vendors split differently.
- Inbound answering. The AI picks up every call, identifies the caller, and handles routine requests: hours, order status, appointment booking, account questions. Retell AI and Bland AI both book appointments directly inside the call. PolyAI cites customer stories including 42,000 missed calls turned into bookings and $250K from after-hours bookings (PolyAI pricing).
- Routing and transfer. When the AI cannot resolve a call, it hands off with context. Retell AI agents brief the human agent, answer follow-up questions, and confirm readiness before connecting; the AI fee stops at transfer. Bland AI bills transfer time separately at $0.05/min on Start or $0.04/min on Build. Synthflow lets you control handoff triggers based on failed attempts or caller sentiment.
- Outbound. Reminders, follow-ups, collections, lead qualification. Retell AI charges $0.10 per outbound call for branded caller ID on top of per-minute rates. Bland AI and Synthflow both list outbound campaigns as core use cases.
Helpdesk add-ons cover the same jobs across chat, email, and voice. Zendesk AI agents resolve issues across messaging, email, and voice, billing only when there is no escalation to a human. Fin charges nothing if the customer asks to speak to a human.
Build, buy, or add-on: which AI call center model fits?
There are three ways to buy this, and the right one depends on your team.
1. Voice agent platforms (build). Retell AI, Vapi, Bland AI, PolyAI, and Synthflow give you per-minute infrastructure. You or a developer configure the agent, connect telephony, and maintain it. Retell and Vapi are self-serve with published rates; Synthflow starts at $30,000 annually; PolyAI's full platform is quote-only (Vapi pricing). Best for teams with engineering time and high call volume. See our voice agent platforms guide.
2. Helpdesk AI add-ons (add-on). Zendesk AI agents, Fin, and Ada sit on top of a support desk and bill per resolution or per outcome. Zendesk charges $1.50 per committed automated resolution ($2.00 pay-as-you-go) on top of Suite plans from $55/agent/month paid yearly. Fin charges $0.99 per outcome and works with Salesforce, Zendesk, and Freshdesk for a $49/month minimum. Ada is quote-only. Best for teams that already run a helpdesk. See helpdesk AI agents.
3. AI receptionists (buy). A managed front-desk service that answers, books, and transfers, usually for a flat monthly fee. Best for small businesses with no developers. See our AI receptionist guide and AI receptionist cost breakdown.

What does an AI call center cost at 10,000 minutes per month?
10,000 minutes a month is roughly 330 calls a day at five minutes each. Here is the math using only published rates.
| Platform | Published rate | Math | Monthly cost |
|---|---|---|---|
| Retell AI | $0.07-$0.31/min | 10,000 x $0.07 to $0.31 | $700-$3,100 |
| Bland AI Start | $0.14/min, $0 platform fee | 10,000 x $0.14 | $1,400 |
| Bland AI Build | $0.12/min + $299/mo | (10,000 x $0.12) + $299 | $1,499 |
| PolyAI API | $0.02/connected min | 10,000 x $0.02 | $200 (model only) |
| Vapi | $0.05/min hosting + providers | 10,000 x $0.05 | $500 hosting only |
Read the fine print before comparing:
- Vapi's $0.05/min is hosting only. Transcription ($0.0095-$0.0099/min), the model ($0.0077-$0.0452/min), and voice ($0.0146-$0.0238/min) stack on top, passed through at cost. A realistic all-in rate is meaningfully higher than $500.
- PolyAI's 2 cents covers the model only. Telephony and orchestration are not included; you need a custom voice stack. The full platform is quote-only.
- Bland bills telephony separately, on your carrier or Bland's Twilio at pass-through cost.
- Retell bills during silence and hold time, because the speech-to-text engine stays active. The AI fee stops after transfer to a human.
- Synthflow publishes no per-minute rate; enterprise contracts start at $30,000 annually (Synthflow pricing).
Per-resolution tools price differently. At $0.99 per outcome, Fin costs $9,900 for 10,000 resolutions; Zendesk AI agents at $1.50 committed costs $15,000, plus per-agent subscription fees. Resolutions and minutes are not the same unit, so compare against your own cost per call. Our AI call center savings calculator helps with that.
What BLS projects for call center jobs
The Bureau of Labor Statistics 2025 Occupational Outlook data shows the pressure on both roles an AI call center touches:
- Customer service representatives: median pay $21.53/hour ($44,770/year), 2,666,000 jobs, employment projected to decline 5% from 2025 to 2035. BLS: 'There is expected to be less demand for customer service representatives, especially in retail trade, as their tasks continue to be automated.'
- Receptionists: median pay $18.27/hour ($38,010/year), 947,500 jobs, projected to decline 2% over the same period, with 42% employed in healthcare and social assistance. BLS says employment 'is expected to be constrained as organizations continue to automate or consolidate administrative functions.'
Two practical readings. First, automation is hitting routine tasks, not all tasks; escalations, complaints, and judgment calls still go to people. Second, the labor math favors automation at scale: one CSR at median pay costs roughly $44,770 a year before overhead, while 10,000 platform minutes cost $700 to $3,100 at published rates. Rollout order: a practical sequence
Do not automate everything at once. This order limits damage when something breaks.
- Measure first. Pull 90 days of call logs. Bucket calls by reason. If 60% of volume is hours, status, and booking, that is your automation target.
- Start with after-hours and overflow. Lowest risk, immediate payoff. PolyAI cites $250K from after-hours bookings in a customer story.
- Automate one call type end to end. Booking or order status. Include the human handoff path from day one; Retell AI, Bland AI, and Synthflow all support warm transfers with context.
- Add routing. Let the AI triage and transfer everything else rather than forcing resolution.
- Then outbound. Reminders and follow-ups once inbound is stable.
- Review weekly. Read transcripts, track containment and transfer rates, and fix failure patterns before expanding.
Before launch, run structured test calls. Our guide on how to test an AI receptionist applies to any voice agent. We have not made test calls on these platforms yet; our assessments are based on published vendor information. See our methodology.
