How booking works on a call
The flow is similar across tools, based on what vendors publish:
- The AI answers. The caller reaches an AI receptionist instead of voicemail. Goodcall, Rosie, Dialzara, and Upfirst all answer 24/7.
- It checks your calendar. Goodcall checks your calendar and offers the caller times that fit your day. Upfirst checks your calendar while the caller is on the line. Dialzara syncs with Google and Outlook calendars.
- It offers times and books. The caller picks a slot. My AI Front Desk books against your live calendar and handles rescheduling and no-show follow-ups. Smith.ai books consults into your case management system through its AI Scheduling feature.
- It confirms by text. Goodcall texts everyone the details after booking. Rosie texts call details and can send appointment links by SMS. Dialzara offers calendar-aware booking over SMS on its $19/month AI SMS Agent plan, plus $0.05 per AI message.
What varies is where the booking lands. Some tools write directly to Google Calendar or Outlook. Others book into Calendly, a practice-management system, or a restaurant reservation platform. That difference decides which tool fits you.
Which tools book appointments, and into which calendars?
This table covers every tool in our directory whose published facts describe a booking feature. Prices are entry points; check each vendor page for current plan details.
| Tool | What the booking facts say | Calendars and systems named | Entry price |
|---|---|---|---|
| Goodcall | Checks your calendar, offers times that fit, books it, texts everyone the details | Google Calendar shown connected in product example | $79 a month |
| Upfirst | Checks your calendar while the caller is on the line and books an open time | Google Calendar, Outlook, Calendly, Acuity Scheduling, Square, Clio Manage | $24.95/month |
| Dialzara | Books appointments directly to your calendar; calendar-aware booking via SMS; books meetings in chat | Google Calendar, Outlook | $29/month |
| Rosie | Books directly into your calendar on Scale and up; Professional texts a scheduling link | Zapier, Google Business Profile (no calendar named) | $49/month |
| My AI Front Desk | Books against your live calendar; handles rescheduling and no-show follow-ups | SimplePractice, TherapyNotes, Jane App, CentralReach among integrations | $99/mo |
| Smith.ai AI Receptionist | AI Scheduling on every plan; books consults into your case management system | Calendly, Clio Grow, Clio Manage | $150/mo (free plan at $0/mo) |
| Slang.ai | End-to-end reservation flows 24/7; cross-sells sister locations when first choice is full | OpenTable, SevenRooms, Yelp, Resy | $399 per location |
| Chatbase | Agents have a 'Get slots' action; travel use case connects to your PMS and booking engine | Calendly | $32/month billed yearly |
| Avoca | Books jobs 24/7 via AI CSR and Simple Scheduler; syncs booked jobs to CRM | ServiceTitan, Google LSA | Custom quote |
| Arini | Books appointments online; runs outbound reactivation campaigns to fill schedules | None named; site says agents integrate with existing systems | Custom quote |
| Ruby | Receptionists can schedule appointments; optional feature in all plans at no extra cost | None named in the text | $250/month |
Two patterns stand out. First, direct calendar booking often sits behind a mid-tier plan: Rosie only books directly on your calendar from the $149/month Scale plan, while the $49/month Professional plan texts a link instead (Rosie pricing). Second, industry tools book into industry systems: Slang.ai writes to OpenTable and Resy, Avoca syncs to ServiceTitan, and Smith.ai pushes consults into Clio.
Where does AI appointment booking break?
Booking fails at the edges, and the facts point to three weak spots.
Practice-management and industry systems. A tool that books into Google Calendar may not touch your actual system of record. Arini names no integrations at all; the site only says agents integrate with your existing systems. Avoca names ServiceTitan and Google LSA and nothing beyond them. If your schedule lives in a dental PMS, a property platform, or a field-service CRM, confirm the exact integration before you buy. My AI Front Desk is the exception on paper, naming SimplePractice, TherapyNotes, Jane App, AppFolio, Buildium, and others.
Transfer fallbacks. When the AI cannot complete a booking, the caller needs a path to a human. The fallback varies by plan. Dialzara's $29/month Business Lite plan only does blind transfers; warm transfer starts at $99/month (Dialzara pricing). Goodcall transfers to your business line by default, with a backup if the person does not pick up. Smith.ai can escalate to live North America-based receptionists, but chosen live agent involvement for verification or scheduling is a per-call add-on. Upfirst's human support runs Monday to Friday, 9 a.m. to 6 p.m. Eastern; weekends are AI-only.
Plan caps and billing traps. Booking volume costs money when you cross plan limits. Dialzara's overage runs up to $0.48/min on the entry plan. Upfirst caps calls per plan and bills $0.70 to $1.50 per additional call. Rosie's FAQ asks what happens if you go over your minutes, but no answer appears in the text. Retell AI bills $0.07-$0.31/minute and keeps billing during silence and hold time because the speech-to-text engine stays active.
How do you pick by calendar?
Start with the system your appointments must land in, then filter by price.
- Google Calendar or Outlook. Upfirst books into both from $24.95/month, plus Calendly, Acuity Scheduling, Square, and Clio Manage. Dialzara syncs Google and Outlook from $29/month. Goodcall shows Google Calendar connected, at $79 a month flat (Goodcall pricing).
- Calendly. Smith.ai includes AI Scheduling with Calendly on every plan, including the $0/mo free plan with 25 live calls/month. Chatbase lists a Calendly integration and a 'Get slots' action from $32/month billed yearly (Chatbase pricing).
- Legal case management. Smith.ai books consults into Clio Grow and Clio Manage. Upfirst also books into Clio Manage.
- Restaurant reservations. Slang.ai integrates with OpenTable, SevenRooms, Yelp, and Resy, from $399 per location.
- Field-service CRM. Avoca books jobs and syncs them to ServiceTitan. Pricing is quote-only.
- Therapy and healthcare practice systems. My AI Front Desk names SimplePractice, TherapyNotes, Jane App, and CentralReach, from $99/mo, and states HIPAA compliance (My AI Front Desk pricing).
- No named calendar. Rosie books into your calendar on Scale and up but names no calendar product; Ruby schedules appointments through human receptionists and names no integrations. Ask both vendors exactly where bookings land.
If none of these match your stack, a voice-agent platform like Retell AI lets a developer build booking against your own API at $0.07-$0.31/minute, with HIPAA, SOC 2 Type II, GDPR, and ISO 27001 stated. For a broader view of the category, see our AI receptionist guide and the appointment booking bots page.
What should you budget for AI appointment booking?
Published entry prices cluster into three bands:
- Under $50/month. Upfirst starts at $24.95/month for 30 calls, then $1.50 per additional call. Dialzara starts at $29/month for 60 minutes, then $0.48/min. Rosie starts at $49/month for 250 minutes, but direct calendar booking needs the $149/month Scale plan.
- $79-$150/month. Goodcall is $79 a month flat for 100 unique customers, then 79¢ each. My AI Front Desk is $99/mo with 200 voice minutes, with overage at $0.25/min. Smith.ai Pro is $150/mo at $2.00/call, and its free plan covers 25 calls/month at $0/mo.
- $250/month and up. Ruby starts at $250/month for 100 receptionist minutes with human staff (Ruby pricing). Slang.ai starts at $399 per location. Avoca and Arini publish no prices at all.
Billing unit matters as much as the sticker price. Per-call billing (Smith.ai, Upfirst) is predictable when calls are short. Per-minute billing (Dialzara, Retell AI) scales with call length. Flat monthly plans (Goodcall, Rosie) suit steady volume. Our AI call center savings calculator and AI receptionist cost breakdown can help you model your own call volume before you commit.
